1. Overview
Modern IT Solution does not operate an online checkout — every engagement (repair, rental, AMC, cloud, security, software or connectivity project) is scoped, quoted in writing, and approved by you before any chargeable work begins or payment is collected. This policy explains how cancellations and refunds are handled once you've approved a quotation.
2. No Charge Without Approval
You will never be billed for diagnostic time, a quotation, or exploratory discussion. Charges only apply once you have approved a written quote or signed a service/rental/AMC agreement, as described in our Terms & Conditions.
3. Desktop & Laptop Repair
- Before work starts: if you cancel after approving a quote but before we begin the repair, you owe nothing beyond any previously agreed diagnostic fee (where one applies and was disclosed upfront).
- After work starts: if a repair has already begun (parts ordered, labour performed), you will be charged for the parts and work already committed at the time of cancellation; any advance paid beyond that amount is refunded.
- Unrepairable devices: if we're unable to repair a device as quoted, any advance collected for that specific repair is refunded in full, less any diagnostic fee already disclosed.
4. Laptop & Desktop Rentals
- Security deposits (where applicable) are refunded at the end of the rental term, less any charges for damage beyond normal wear-and-tear, as assessed at return.
- Early termination of a rental agreement is subject to the notice period and any early-exit terms specified in your rental agreement.
- Rental fees already paid for the current billing period are non-refundable once that period has commenced, unless the equipment supplied was faulty and could not be promptly replaced.
5. AMC (Annual Maintenance Contracts)
- AMC plans may be cancelled with written notice as specified in your AMC agreement.
- Where a refund is due for the unused portion of a prepaid AMC term, it is calculated on a pro-rata basis, less any service visits, parts or support already provided during the contract period.
- AMC fees are generally non-refundable within the first 30 days of the contract, to cover onboarding and initial assessment costs, unless otherwise agreed in writing.
6. Website, Software, App Development & System Integration Projects
- These projects are typically billed in milestones (e.g. design approval, development, deployment) as set out in your project quotation.
- Payment for a milestone already delivered and approved by you is non-refundable.
- If you cancel before a milestone is delivered, you are only liable for work-in-progress up to the point of cancellation; any balance of an advance payment beyond that is refunded.
7. Cloud, Connectivity & Cyber Security Services
One-time setup/migration fees already invoiced for completed work are non-refundable. Ongoing/subscription-style charges (e.g. managed monitoring) are billed and refunded on a pro-rata basis for the unused portion of the then-current billing cycle, unless your specific service agreement states otherwise.
8. Refund Method & Timeline
Approved refunds are processed to the original payment method (or bank transfer, where applicable) within 7–14 business days of approval. Processing times beyond our control (e.g. your bank's own turnaround) are not included in this window.

10. Changes to This Policy
We may update this policy from time to time; the "Last updated" date above reflects the latest revision. This policy does not override any specific written agreement (quotation, AMC contract or rental agreement) you've separately signed with us — where the two differ, your specific agreement governs.
11. Governing Law
This policy is governed by the laws of India, and any related dispute is subject to the exclusive jurisdiction of the competent courts in Mumbai, Maharashtra.
